Have You Implemented At Least These 6 Tips In Your Business Systems?
Business systems can throw up a lot of pushback from many business owners.
Because it’s something that they know that they need, but it’s something that they associate with being really, really time-consuming.
Although I get it, these systems to start with can take a bit of a time commitment. But the whole point of business systems is to eventually get that time back. So by creating business systems and investing in parts that are short part-time at the beginning, means that you are able to save much more time, much more money further down the line.
And it also means that you are able to work alongside your mental well being because a huge, huge thing of mine is that by having business systems in place, and not just business systems, having systems in your life can be so game-changing when it comes to our mental well being.
I am a huge advocate for making sure that we are looking after our mental well being.
Because without our mental wellbeing doing business, and just getting through life can be really, really difficult.
I want to make sure that you have implemented at least these six tips that I’m going to go through into your business systems.
So you are able to ensure that you are going to achieve your vision in business and life without burning out and without sacrificing your mental wellbeing.
So removing yourself as the bottleneck. So that system doesn’t always come back around to you. If you are creating a business system where you can delegate to your team, but then approvals and everything else is coming back round to you. You have a bottleneck to yourself, which means that you have traded, you’re implementing an execution role in your business, for the management role. And you don’t want to be in that place.
You want to be in a place where these things, these tasks can run without you needing to be involved.
Because ultimately, if you are involved in every single thing in your business, you are not going to be able to drive your business forward. And that’s your role as a business owner is to drive your business forward. To achieve the vision is to make sure that you are pushing your business and pushing the boundaries of what you can achieve. That’s your role as a business owner. So making sure that you have made your business systems scalable, is really, really important.
So consistent the entire way through. This is how you document your processes. This effectively a system for creating a system. And you may laugh at that.
But it is true, you do need to have a system for creating a business system, especially if you are going to have your team members create business systems on your behalf, which you will eventually if not already. So making sure that you have a consistent way of documenting your processes and your systems will mean that you are in a better place to be able to delegate effectively.
And you’re going to have a consistent way of doing things the entire way through.
Because as humans we all have different ways of doing things. And even if you have people on your team that know how to document business systems, they may not document them the way you do and they probably won’t. So making sure that you are consistent the entire way through makes sure that your team is working consistently. Your deliverability is consistent. Your customer service is consistent. You want to make sure that there is that constant path of consistency throughout.
make sure that they are sustainable. This is something that a lot of people fall down on. And that’s creating business systems that aren’t able to be maintained easily. You need to maintain your business systems, it’s like everything in business. In order to have a well-oiled engine, you need to make sure that you are looking after that engine, you cannot expect an engine, it’s like a car if you just bought a car and let it sit on the drive didn’t do anything with it didn’t maintain it, it’s going to eventually fall apart.
And you don’t want that in your business.
You want to make sure that your business systems help your business to scale and go forward and to grow and to be in that place where you want your business and life to be. And making sure that who you give a responsibility to create the business systems or maintain these business systems, they need to know that’s their responsibility.
Because ultimately, what you can do is sometimes bring a team member in and they follow the system.
But they don’t do anything with it, they don’t maintain it, because you’ve given them the business system, you’ve never told them to maintain this business system, and it ends up falling apart. So making sure that you are setting out the responsibilities for yourself and business and your team and within your business means that you are then going to create business systems that are sustainable.
We over-complicate things as business owners. And we do that because we’re overwhelmed and we make decisions and we’re doing things without really having that headspace to think them through. And sometimes we can overcomplicate things, and it takes us a step back to realise that we have done that. But making sure that your business systems are kept simple is paramount in order to make sure that they are going to be used.
If you create business systems that are really difficult to understand
That is really difficult to navigate, that takes a lot of time to figure out every time that team members are doing something, they’re not going to follow the system. And you don’t want to be in that place, you want to make sure that you are creating your business systems as simple as possible.
So it doesn’t take them the time to figure it out.
And an example of this could be where you store your business systems. Making sure that there’s a central place like a business hub is paramount to making sure that they are simple to use. And your team doesn’t have to go hunting in different places.
Because the more hunting, the more places that you store things. The more time that’s taking your team to do and you don’t want them to spend their time figuring out where they’re stored. You want to create a central place that’s predominantly the place that everything is. And even if it is stored somewhere else, making sure that you are linking to where that thing is stored. So it’s easy to use. And it’s simple.
The number of times that people create these business systems and processes and they’re not specific. They’re not specific with responsibilities with who you’re assigning processes to a lot of the time they don’t even have these processes assigned to anyone.
So how is that person meant to know what’s going to happen and who’s responsible for what?
If you create these perfect business systems, and the communication side of that falls down where you’re not assigning things to the right people or you’re not assigning certain responsibilities.
The business systems may not even be there, because that team member is then going to maybe follow the business system. But you could have two team members that are working on the same process. And that’s a waste of time, a waste of money, and a waste of energy. So making sure that you are really utilising your business systems and assigning them to the people that are responsible is really, really important.
And what I mean by that is, many of us come from a corporate background. I personally do. And although having business systems that would really stand out incorporate as well as small businesses. It means that you’re not going to be able to easily sustain your business systems. And they’re going to be over complicated.
And it’s not going to work to your benefit.
So with corporate business systems, they are very in-depth, they pretty much have a team that is working just on business systems full time, day in day out as small business owners, we don’t have that luxury. So we do not want to have basically systems that come from the corporate world, because I don’t know about you.
But if you come from corporate, you will remember when you look at a business system, it would be pages and a huge book. And you would have to try and navigate your way around it. When you would navigate your way around it, that will be a process that you will continue to follow. And then they update the process.
You have to take time out of figuring out this system.
Again, it’s really, really time-consuming. That’s time-consuming, that you do not want in your small business, because you haven’t got 1000s of employees to have to send these business systems to.
Also, if they’re very text-heavy, a lot of people will struggle to navigate their way around it. Incorporate, predominantly, no matter how big the business systems are, you always get trained on what you’re going to do. So a lot of the time, the business systems aren’t necessarily referenced, because you are trained by someone that knows that business system.
But again, as a small business owner, you don’t want to take time out of your business to train someone, you want to be able to give them the business system to follow and make sure that it is done in a consistent way. It’s done how you want it to be done.
And it is done easily by outsourcing that particular business system or process.

Because ultimately, as business owners we want to create scalable business systems that are going to be our right-hand woman, that business system is going to follow us the entire way through our business journey. And it’s going to save us money, it’s going to save us time. It’s going to create us the life that we want without sacrificing our mental well-being. So what’s not to love about business systems? It’s the answer to many of the problems that we have in business.
And I can’t say loudly enough how much I really think if you don’t have scalable business systems in your business.
Now, you need to make that a priority. Because without them, you are really going to become stuck in this situation where you’re lacking in scaling and you’re really struggling and you’re making things really hard on yourself. And we don’t want to be in that place.
